Click the Contacts button located at the bottom left of Outlook (see image below):
In the top bar, ensure the current tab is "Home", and click "New Contact".
Enter the known information for the client, and then click "Save & Close" in the top bar, under the "Contact" tab.
Creating the Task
In Outlook, click the "Tasks" tab at the bottom left (see image below):
Click the "Home" tab in the top bar, and then click "New Task".
In the task window, complete the following steps:
In the top bar, under the "Task" tab, click the "Categorize" dropdown, and then select a category based on the steps below:
Select "Accounts" if the client has not yet been billed.
If the client has been billed, select "Domains & Hosting" if this has not yet been completed.
If the client has been billed and the Domains and Hosting have been set up, select "Upcoming Work To Do".
Under the "Subject" field, enter the website/business name and then either "- Domains and Hosting", if the domains and hosting hasn't been set up yet, or "- Website" if it has.
Under the "Priority" field, select "High".
In the large text box, enter the following information:
Write the date the domains and hosting request was received (example: "1 Jan 2020") and then "- received domains and hosting"
If the client has been billed, write the information from above, and then on the next line write the date the client was billed and then "- billed for domains and hosting".
If the client has had domains and hosting set up, then write the date that it was set up, and then "- set up domains and hosting"
Click "Save & Close".
Making the Email Folder
In Outlook, click the "Mail" tab at the bottom left (see image below):
In the top bar, click the "Folder" tab, then click "New Folder".
Under the name field in the opened window, enter the client's website name.
Under the "Select where to place the folder:" section, select either the "Clients" folder, or the respective reseller's folder (if the client was referred to us by a reseller).
